Graduation Party Food Planning: A Week-by-Week Timeline

Graduation party catering in patchogue NY

Graduation season on Long Island runs through June, and nearly every party lands on the same handful of weekends. The food itself is simple. The hard part is that everyone wants it on the same Saturday afternoon. A little planning on the calendar side makes the day itself easy. This is the timeline we suggest to families who call us about graduation party food.

Six weeks out: set the date and book the food

Pick the date, estimate a rough headcount, and book your food first. Graduation weekends are the busiest catering days of the year, and the popular Saturdays fill up. A rough number’s fine at this stage. What matters is getting on the calendar.

Three weeks out: settle the menu

Keep it to three or four dishes in real quantity rather than a long list. Here’s a menu that works for almost every graduation party:

  • One baked pasta, such as baked ziti or lasagna
  • One protein, such as chicken parmesan or sausage and peppers
  • One salad, Caesar or Greek
  • Pizza for the kids, the teenagers and the late arrivals

That covers picky eaters, vegetarians and the graduate’s friends who show up at 6pm starving.

One week out: lock the headcount

Count your yes responses, then add ten percent. Graduation parties always pick up extra guests: a friend’s parents, a neighbor, a teammate who heard about it. Use our tray headcount guide to turn the final number into an order. As a rough example, a 40-guest party is well fed with two pasta trays, two entree trays and a salad. That runs around $280 before tax at our current tray prices.

The day before: confirm the details

  • Confirm the pickup or delivery time and the address
  • Decide who’s receiving the food. It shouldn’t be the graduate or the host who’s greeting people
  • Check you’ve got serving spoons, plates, napkins and a table in the shade

The day of: keeping food hot outdoors

Backyard parties run for hours, and a tray that was hot at 2pm is lukewarm by 4pm. Wire chafing racks with fuel cans keep foil trays hot for the whole afternoon, and you can grab them at any party supply store. Set the food out in waves rather than all at once. Open one tray of each dish, keep the rest covered, and swap them in as they empty.

Keep salad in the shade and dress it just before serving. Pizza’s the exception to all of this: it’s good warm, good at room temperature, and nobody complains either way.

A budget that holds up

Catering trays priced per tray, not per head, keep a graduation party affordable. Most families we work with land around $6 to $9 a guest for a full hot meal, depending on the dishes. Pizza’s the cheapest way to stretch the order if the headcount climbs. For the slice math, see how much pizza to order for a party.
